Prepare, monitor and update payroll data

  • Manage time and attendance systems daily.
  • Effective management of time attendance register, by printing sheets on a daily basis and submitting to HODs for approval.
  • Process monthly salary deduction inputs, verify accuracy of monthly salary inputs and file original documents in personnel files.
  • Facilitate third party registrations of employees, summarise changes on third party deductions and prepare payment requests to third parties.
  • Prepare EFT requisitions for casual wages weekly/monthly.
  • Processing of wages and applicable contributions every end of the month.
  • Processing of leave, appointments, promotions, transfers, resignations and retirement on the sytem.
  • Process overtime and Production bonuses, and all other Payroll related deductions and payments for month end.
  • Print a summary of the overtime hours worked on a monthly basis and submitted to the HODs
  • Register and Terminate employees on Social Security and Pension Fund.
  • Issuing of manual tax certificates duplicates to employees when necessary.
  • Enrol and Terminate employees on Sage.
  • Updating of leave records monthly (Timekeeper, Payroll).
  • Print payslips and prepare journals on a monthly basis.
  • Reconcile and prepare pay journals for various contributions and payments (Loans and Grants).
  • Prepare info for KPI’s weekly.

Build relationships with Stakeholders and provide support as necessary

  • Provide support to employees and management on various Payroll matters.
  • Assist employees with Payroll enquiries and support management as required.



  • Diploma in Human Resources Management, Business Adminstration or Accounting & Finance at NQA Level 6.


  • Should have at least 3 years experience in payroll, of which 1 year experience should be on time and attendance systems.
  • Experience in a FMCG/ manufacturing environment will be an advantage.

Knowledge, Skills and Abilities:

  • Knowledge of the Income Tax Act, Social Security Act, Pension Funds Act, etc, Knowledge of Payroll procedures and practices, Payroll systems (preferably Sage VIP), Time and attendance management systems (Jarison), Microsoft Office package
  • Time Management, attention to detail, communication, interpersonal and administrative skills.


  • Valid Namibian driver’s license Code B
  • Namibian Citizenship.
